Most new clients need some level of cleanup before monthly bookkeeping can begin. That is normal. It does not mean you did anything wrong. It means life got busy, bookkeeping got pushed to the back burner, and now your QuickBooks file does not reflect reality.
Maybe you are a few months behind on reconciliation. Maybe you have a year of transactions that were auto-categorized by the bank feed and never reviewed. Maybe you switched from a shoebox of receipts to QuickBooks halfway through the year and the transition was rough. Maybe your previous bookkeeper left things in a state you cannot untangle.
Whatever the situation, I have seen it. Cleanup is not about judging how things got this way. It is about getting your books to a place where they are accurate, reconciled, and usable going forward.
I start by going through your QuickBooks Online file from end to end. I look at every account, every open balance, every unreconciled transaction. I identify what is wrong, what is missing, and what needs to be fixed. This review produces a clear picture of the scope of work before any changes are made.
Every bank account and credit card gets reconciled, month by month, going back as far as needed. This is the most time-consuming part of a cleanup, and it is also the most important. Until your accounts are reconciled, nothing in your reports can be trusted. I work through each month methodically, catching duplicates, missing transactions, and incorrect balances along the way.
Every transaction gets reviewed and coded correctly. That means fixing miscategorized transactions, splitting transactions that were lumped together, removing or correcting duplicate entries, and making sure your chart of accounts is set up properly for your business. If your chart of accounts needs restructuring, I handle that as part of the cleanup.
Bank feeds and auto-rules are helpful, but they create problems when left unchecked. Duplicate transactions inflate your expenses. Miscategorized transactions put costs in the wrong buckets. Uncategorized transactions sit in limbo. I go through everything and correct it so your P&L and Balance Sheet are accurate.
If you are on QuickBooks Desktop, spreadsheets, or another platform and want to move to QBO, I handle the migration as part of the cleanup. This includes setting up your chart of accounts, importing historical data where appropriate, and making sure the transition does not create gaps in your records.
